Creating Procedures for Maintenance Programs

A procedure attached to a Maintenance Program ensures every work order the program generates comes with the right checklist — your team always knows exactly what to do, without anyone having to remember to attach it.

Two Ways to Add a Procedure

When setting up or editing a Maintenance Program, you can add a procedure in two ways:

Build the task list directly in the program —You can create your checklist on the spot while building the program. This is the fastest option for procedures that are unique to one program.

Select an existing procedure — You can build a procedure under More > Manage Property > Procedures, and copy it into your program during program creation. This is the better option when the same checklist applies to multiple programs — update it once, and it stays consistent everywhere it's used.


Building the Checklist

Drag fields into your form based on what you need your team to capture. A few fields worth calling out:

  • Pass/Fail and Yes/No both include an On Negative Response setting — when a worker fails a step, they can log an inline "I Fixed It" repair or create a new work order to address it later. Use these for any step where a failure needs to be tracked, not just noted.

  • Pass/Fail, Yes/No, and Multiple Choice support conditional fields — additional inputs that appear based on the answer selected. For example, you can require a comment or a photo only when a specific option is chosen. Set each response to trigger the additional field as Optional or Required depending on how critical the follow-up is.

  • Any field can be marked Required, meaning your team can't complete the work order without filling it in. Use this for steps that are non-negotiable.

For everything else: use Checkbox for simple done/not done steps, Short or Long Answer for written input, Image Upload for photo documentation, Number, Cost, and Meter Reading for measurements, Multiple Choice or Checklist for structured responses, Content Block for instructions, and File Upload or Date when documentation or timing needs to be recorded.


What Your Team Sees

Once a program has a procedure attached, every work order it generates will include the checklist under Tasks. Your team works through it directly from the work order — no extra steps, nothing to attach manually.
