How to Get Started
Go to app.workwithpico.com, navigate to Maintenance > Programs and click + Create Program.
Step-by-Step Setup
1. Name and Categorize Your Program
Give your program a clear, recognizable name (e.g., "Monthly Boiler Inspection"). Then, select a category type: Guest Experience, Compliance, or Best Practice.
2. Choose the Scope (What it Covers)
Select the specific locations, equipment, or meters this program applies to.
Smart Grouping: Choose whether Pico should generate an individual work order for each location, or group all locations into a single work order (perfect for property walkthroughs and inspections).
💡 Pro-Tip: You can select specific spaces one by one, or select an entire category (like all Guest Rooms).
3. Assign the Work and Estimated Time
Send work to the team's pickup queue, a specific person, or an outside vendor. Then set the average time per work order.
4. Set the Frequency
Choose how often the program needs to get done — daily to annually, or a custom interval. Pico keeps occurrences evenly spaced, never back-to-back. Then, pick a start date for your program.
5. Build the Checklist
You can start with a blank slate or save time by copying a checklist from an existing program. Once you click Create Program, use the Edit Tasks tool to build out the exact steps your team needs to follow, including:
Pass/Fail checks
Meter readings
Photo requirements
Checklists
6. Preview and Publish
Click Generate Preview to review the projected schedule and see how busy your team's calendar will be.
⚠️ Important: Your program is not live until you publish it. Clicking Save and Publish is what triggers and generates the very first batch of work orders.
Pico will automatically generate the Work Orders based on the schedule you set. The team or person assigned to the program will see them in their queue.
Who can do this
Property and Team Managers: Full access to create, edit, and publish maintenance programs.
All Users: Can view and complete the resulting work orders via the Mobile App.
