Manage your Maintenance Programs

As your property's needs change, your maintenance programs should too. Whether you're adjusting who does the work, how often it happens, or what it covers, here's what to know before making changes.

To edit a program, go to Maintenance > Programs, open the program, and click Edit.


Adjusting the Schedule

If work is piling up or not getting done on time, changing the frequency or duration can help. Update how often work orders are generated and how long each one should take — this sets realistic expectations for your team and keeps the program achievable.

You can also update the start date if you need the cycle to shift.


Changing Who It's Assigned To

If responsibilities have shifted across your team, reassign the program to the right person or role, so work orders land with the right people from the start.


Updating Coverage

If you've added new spaces or the program's scope has changed, update the coverage to reflect which locations should be included. New locations or assets will be picked up on the next scheduled cycle.


Renaming or Recategorizing

If a program's name no longer reflects what it covers, or it belongs under a different category (like moving something from Guest Experience to Compliance), update the name and type. The type controls how the program is grouped on your Programs page, so keeping it accurate makes it easier for your team to navigate.


Updating the Tasks

If the checklist itself needs to change — what gets inspected or completed at each location — scroll down to the Tasks section and edit the procedure there.


Temporarily Stopping a Program

If you need to pause work order generation without deleting the program, use the ⋮ menu to pause it. This is useful during low seasons, renovations, or any period where the work isn't relevant — your setup stays intact, and you can resume when ready.


After Making Changes

Once you've edited the program, click Schedule Work Orders to apply them. New work orders will be generated with the updated settings, and any currently open work orders from this program will be deleted. Give your team a heads-up before you do this so no work in progress gets lost.
