Adding a Checklist to a Maintenance Program

Add a checklist to a Maintenance Program so every work order it generates comes with the right tasks. No one has to remember to attach it.

Two Ways to Add a Checklist

When you create a program, scroll to The tasks your team does for this program and pick one:

  • Start blank. Build the checklist from scratch for this program.

  • Copy a work order template to start from. Reuse a checklist you already built. Learn how in Creating a Work Order Template.

💡 Have your checklist in a PDF? First, create a Work Order Template and import your PDF. Then come back and copy it into your program. You can also import a JSON file or let Pico AI build the checklist for you.

⚠️ The program gets its own copy. Changes to the program's checklist don't affect the template, and later changes to the template don't update the program.

Building the Checklist

Drag fields into your form based on what you need your team to capture. A few fields worth calling out:

  • Pass/Fail and Yes/No: If a step fails, your team can log an I Fixed It repair or create a new work order.

  • Conditional fields: Pass/Fail, Yes/No, and Multiple Choice can show extra inputs based on the answer.

  • Required: Your team can't complete the work order until required fields are filled in.

For everything else: use Checkbox for simple done/not done steps, Short or Long Answer for written input, Image Upload for photo documentation, Number, Cost, and Meter Reading for measurements, Multiple Choice or Checklist for structured responses, Content Block for instructions, and File Upload or Date when documentation or timing needs to be recorded.

What Your Team Sees

Once a program has a checklist attached, every work order it generates will include the checklist under Tasks. Your team works through it directly from the work order — no extra steps, nothing to attach manually.
