How do I create a Work Order Template?

Quick guide to making reusable checklists for Work Orders and Maintenance Programs.

Written by Maria Vornovitsky

From the WebApp, go to More → Manage Property → Work Order Templates.

  1. Choose how to build it:

    • New work order template: Build the form yourself.

    • ⋮ → New template with Pico: Describe what you need, and Pico AI builds the form for you.

    • ⋮ → Import from PDFs: Upload an existing checklist.

    • ⋮ → Import: Upload a JSON file.

  2. Add Details: Enter a name and description.

  3. Build or review the form in the Form Builder tab:

    • Use Sections to organize related tasks (e.g., Entry, Bathroom)

    • Add Fields within each Section for individual tasks

  4. Configure Requirements: Toggle fields to Required to make them mandatory before the work order can be completed.

  5. Publish: The template saves automatically as a Draft. Click Publish to make it available for Work Orders and Maintenance Programs.

Key Tips

💡 Draft templates won't show up when selecting a checklist. Don't forget to publish.

💡 Adding it to a Maintenance Program: When creating the program, choose Copy a work order template to start from and select your template. This is how you turn a PDF checklist into a program checklist.
