Get Accurate Billing Data From Your Team's Work

If you bill or report costs to a tenant, a neighboring property, or any third party, you need proof of what was done and what it cost — without extra paperwork for your team. Here's how to make that automatic.

Turn any work type into a billable one

Pick the work order types that should track cost — tenant repairs, shared-space maintenance, anything you invoice for.

  1. Go to Manage Property > Work Order Types.

  2. Select the type.

  3. Check Enable time and materials tracking.

Every work order of that type becomes a Billable Work Order, flagged with a $ on the card.

Set your rates once

Before your team logs time on billable work, make sure the numbers behind it are accurate:

  • Hourly rates — under More > Manage Property > Teams > Edit Team, or per person under People.

  • Part costs — under More > Manage Property > Parts.

Get these right up front and Pico calculates labor and parts cost automatically — no manual math.

How your team logs it — and how you can step in

When a tech taps Complete on a billable work order, they confirm the time spent and parts used before it closes. If they tapped Start Work at the start, Pico already has the time suggested.

As a manager, you can log or adjust anyone's time yourself, from your phone or the web.
