Track Time and Cost on Work Orders

Automatically calculate labor and parts costs as work gets done — useful for teams that bill or report to a third party like a tenant or neighboring property.

Turning it on

Time and materials tracking is enabled per work order type. Go to Manage Property > Work Order Types, select the type, and check Enable time and materials tracking.

Once enabled, any work order of that type becomes a Billable Work Order — on the Website, you'll see a $ on the card to identify them at a glance.

💡 Before you start: set hourly rates per team under More > Manage Property > Teams > Edit Team, or individually under People. Add part costs under More > Manage Property > Parts.

How it works for techs

When a tech taps Complete on a billable work order, they'll be prompted to log time spent and parts used before confirming. Pico calculates the labor cost automatically based on their hourly rate.

Why it matters

If your team's work benefits someone outside your organization, you need a record of what was done and what it cost. Pico builds that automatically as part of the normal completion flow — so techs aren't filling out extra forms, and managers have accurate data without chasing it down.

Who can configure this? Property Manager

Who logs time and cost? All roles (when required by WO type)
